Departmental Mail

Processes and Procedures

In order to keep pace with University growth, Mail Services delivery processes are being updated. Please read carefully as these changes will affect everyone on campus.

Outgoing Mail and Packages

Click here to log-in to your account to request a mail or package pickup at your mail stop. Use single sign on (SSO) to easily login with your MyBelmont login credentials.

Mail requests will be picked up by the mail center staff within 24 business hours.

You log-in to your account to view your package history, and track items to see if they have been sent or if a package you are expecting has been checked in.

Incoming Mail and Packages

Your department has been assigned a unique mail stop number. You can find your mail stop number in the online phone directory at: Belmont University Telephone Directory. Your mail stop number is in parentheses in the department location column. In the example below, the mail stop number is 21200.

Your mail stop number will be added to your Belmont Purchasing shipping address by the System Administrator.  This process may take some time, so please be patient. Once the mail stop number has been added, please do not alter your shipping address.  If you need to make a new shipping address in the Belmont Purchasing system, please use your previous address as a sample and set it up similarly.  Contact purchasing@belmont.edu if you have questions about your shipping address.

  • Please notify all vendors and regular correspondents of your number.
  • If you move or change departments, please request a mail code change at: Belmont Directory Update Form
  • Failure to use the mail code may result in delivery delays or misdirected items.
  • Mail Services will return all unclaimed, misaddressed items to sender after 14 days.

Mail Services has begun using updated package tracking software.

  • You will be notified by campus email once an item is checked into the Belmont Mail system. Please update your Junk folder setting so you do not miss notifications.
  • Once checked in, expect delivery within two business days.
  • If you need it sooner, please come to the UPS Store/Mail Center for pick up.
  • Please note: Delivery receipts from carriers means your package is most likely on campus in a bin with other packages. Due to volume, carriers do not scan individual items delivered to the Mail Center but scan the bulk container that the item is assigned to. Please give Mail Services time to process the container and check your individual item into the Belmont system before coming to pickup.
  • Mail Services will make one attempt to deliver your items. Items can be picked up at the Mail Center if delivery attempt is unsuccessful. Please notify Mail Services to make special arrangements if you know your Mail Stop location will be closed for any reason.
  • Unclaimed/misaddressed items will be returned to the sender in 14 days.
  • Neither Mail Services nor Facilities Management Services have resources to deliver large or excessively heavy packages. Maximum delivery weight is 60 lbs and maximum dimensions are 4ft X 6ft. For large or heavy items, please make arrangements with the vendor or an independent contractor for delivery and installation.
